Indian Institutes of Information Technology (Public-Private Partnership) Rules, 2019

3. Procedure to be followed in meetings.-

(1) Half of the members of the Co-ordination Forum shall form a quorum for a meeting of the Co-ordination Forum.

(2) Agenda of a meeting shall be circulated by the Member-Secretary to the members at least seven days before a meeting.

(3) Notices of motions for inclusion of any item in the agenda of the meeting shall reach the Member-Secretary at least seven days before the scheduled date of the meeting:

Provided that the Chairperson of the Co-ordination Forum may permit inclusion of any item which have not been included in the agenda of the meeting.

(4) The minutes of the proceedings of a meeting of the Co-ordination Forum shall be drawn up by the Member-Secretary and circulated to the members of the Co-ordination Forum.

(5) The minutes together with any suggested amendment shall be placed for confirmation of the Co-ordination Forum at its next meeting.

(6) After the minutes are confirmed and signed by the Chairperson of the Co-ordination Forum, they shall be recorded in a minute book which shall be kept open for inspection of the members of the Co-ordination Forum at all times during office hours.

(7) All questions considered at the meeting of the Co-ordination Forum shall be decided by a majority of the votes of the members present including the Chairperson of the Co-ordination Forum:

Provided that if the votes are equally divided, the Chairperson of the Co-ordination Forum shall have a second or casting vote.
